Bring a clearer brief to the conversation

Collect the presentation goal, event details and model, animation or interactive requirements in one page.

Writing your enquiry

Describe the outcome before the specification

Explain the presentation problem in one or two sentences: the product is too large to bring to the booth, a hidden relationship is difficult to explain, or visitors need to inspect selected components. Then state the preferred output if you have one. This helps connect the specification to a useful exhibition outcome.

For a model, add the maximum envelope or intended scale. For animation, add the approximate duration, screen orientation and main message. For an interactive experience, name the target device if known and the action the visitor should complete. Mark unknown items as undecided so they can be reviewed explicitly.

Separate requirements from options

Identify what must be ready for the event and what would be useful if scope allows. A base, cover, extra language, additional screen version, hardware supply or on-site support may affect the delivery plan. Listing these separately makes the resulting quotation easier to compare and revise.

Include the review owner and the date references can be made available. Avoid putting confidential geometry, passwords or restricted technical details in the public brief. Agree the transfer method before sharing design files. You can call or email the business if you want to clarify the appropriate service first.
